We are seeking a highly organized and detail-orientedExecutive Assistant with a background in project management andconstruction to support our executive team.
The ideal candidatewill have strong administrative skills, exceptional projectmanagement capabilities, and a passion for the constructionindustry.
This role requires the ability to multitask, prioritizeeffectively, and maintain confidentiality in a fast-pacedenvironment.
This role is accountable for : - Administration andExecutive Management. - Diary management - inclusive ofinternal / external meetings, weekly travel itineraries / logistics.
- Travel management inclusive of flights, transfers, visas andaccommodation bookings, ensuring cost effectiveness ismaintained / monitored at all times.
- Events management coordinating and managing all catering and venue requirements forinternal meetings, business forums and off sites (onsite / external).
- Expense management reconciliation of all Executives' monthlyexpenses, ensuring the receipt and payment of invoices align toexpense policy / ensuring all expenses are coded correctly to eachlive project.
- Data Management maintaining share drive forexecutives’ invoice, procurement and management of invoices fromvendors / partners.
In addition, the role is also expected to : -Coordination and management of key documents within the team. -Conduct basic analysis (Excel) and prepare presentations and papersto support key meetings and conversations.
- Partner with otherstakeholders and teams to ensure meetings are set up, well run andinformation required is available for all attendees.
- Other tasksand responsibilities assigned by the CEO / Founder / owner. MinimumRequirements : - Candidate must possess at least aBachelor's / College Degree in any field.
- At least 1 year ofworking experience as a Personal Assistant / Executive Assistant isrequired for this position. - At least one (1) year of drivingexperience with a valid driver’s license (a MUST).
- Resident ofCabuyao or Sta. Rosa, Laguna (PREFERRED). - Background in theconstruction industry (a MUST). - Required Skill(s) : GoodInterpersonal Skills, Microsoft Word, Microsoft Office, MicrosoftExcel.
- Must have excellent communication skills both oral andwritten to assist customers. - Willing to do field work if neededto coordinate with construction stakeholders.#J-18808-Ljbffr
